The system we built that invented case law — and what it taught us

We built an AI-assisted legal-document drafting aid for a law firm, supervised by the lawyer throughout. The first version was told to find relevant British Columbia authorities and use them in the draft — an instruction far too open. It produced citations that looked real and did not exist, and bent real rules until they seemed to support the outcome being argued. Nothing looked broken: the language was polished and confident, which made the error more dangerous than an obvious failure. We caught it, and fixing it cost time and money.

The fix: we cut off open-ended retrieval, gave the system a closed library of approved BC rule and Act PDFs to work from, and required every cited authority to be checked against that library before it could appear in a draft. That reduced the failure mode and made citations traceable. It did not make hallucination impossible. The lawyer still reviews the final document. We do not sell that system, and drafting is not part of what we build for law firms.

The principle outlasts law. Never let AI freely invent or retrieve facts in a high-stakes field: give it a closed, approved source, and keep a qualified human responsible for the final call. That lesson is why the next section exists.

What will your AI never do for my firm?

We are specific about what this will never do, because a regulated buyer needs to know exactly where the AI’s job ends and the lawyer’s begins. Our AI automation for law firms:

PIPEDA, privilege, and your Law Society obligations

Two Canadian rules sit on top of anything we build here: PIPEDA, and the privilege you owe your client. PIPEDA is the federal law covering how personal information is collected, used and stored, and it applies to the intake data this system touches. Privilege is yours to protect, not ours to interpret — which is why no privileged detail reaches the system at all.

The Law Society of British Columbia sets its own rules on technology and confidentiality, as does every provincial regulator. Only your own Law Society can say what those rules require of your firm. We build to respect your obligations; we do not interpret them.

And when the AI gets something wrong?

A person catches it. A short set of pre-written messages sends itself: the booking confirmation, the missed-call text, the appointment reminder and the review request. None of them say anything about the matter, which is what makes them safe to send on their own. Anything written for a particular client or matter waits for human approval. If a caller is misheard or a matter mislabelled, it reaches you as a summary you can correct, not a decision already made.

What moves you within a range: how many practice areas the intake has to route, how many phone numbers and inboxes it has to cover, which practice-management system it connects to and how deep the CRM work goes, and whether both channels go live together or the phone agent goes first. Anything that fits neither tier gets quoted after the scoping call, and the price is fixed before anything gets built.

How long until it is actually answering calls?

How long depends on your calendar, your practice areas and how calls are routed now. The sequence does not change:

Is it safe to use AI for confidential information?

We do not put confidential information into the AI. It hears a caller’s name, contact details, the type of matter and one general line about the issue — nothing more. Case facts, dates and documents stay with you, spoken in person, exactly as now.

Can AI replace my lawyer?

No. The AI answers the phone, books a consultation and routes the enquiry so nothing is lost after hours. It does no legal work of any kind. The full list is in “What will your AI never do for my firm?”. It is the front door, not a stand-in for what happens inside your practice.

How much do people pay for an AI receptionist?

Standalone AI automation runs $1,500–$2,500 to set up, then $250–$450 a month. A full system with deeper CRM work runs $5,500–$7,500 to build, then $900–$1,500 a month. Where you land inside a range depends on how many practice areas the intake has to route and how deep the CRM work goes.

Is an AI receptionist worth it?

It is worth it for a firm that loses calls after hours or between meetings: it books the consultation into your calendar instead of sending the caller to voicemail. If you bill by the hour, that is an hour back. If your intake is already staffed around the clock, it is not for you.
